How to move a booking to a different client's account

An existing booking can be moved to another client's account when needed. Should the participating client not be responsible for payment, this could be used to address an invoice for an activity to another client for payment.

Click on 'Bookings'

From the tabs available on ActivityBridge, click on the 'Bookings' tab

Search for the booking

  1. Use the search criteria fields to narrow down the search results when looking for the respective booking.
    Once you have added the search criteria, chick 'Search'.
  2. Alternatively, ignore the search criteria and simply click 'Search' to display a list of all the bookings on ActivityBridge.

Select the booking

As an example, we'll select Booking ID 707005 imaged below.

  1. Select the booking from the search results in the Booking List by clicking on the booking.
    The Booking Details will open.

Note the 'Invoice To' client information.
Currently, the example invoice is being addressed to 'Mr Venter # ActivityBridge'.

Do you want to move this booking to an existing client account?

Select 'Change Account' from the options to the right of the Booking Details.
The Account Search page will open.

  1. Use the search criteria fields to narrow down the search results when looking for the the client.
    Once you have added the search criteria, chick 'Search'.
  2. Alternatively, search for the client within the Accounts list located below the Account Search section.

 

Select the client account from the results in the Accounts list by clicking on it.
As an example, we'll select 'Mr Nathan Lindley # ActivityBridge.

Once selected, the 'Invoice To' client details will update.
In this example, the client information has been changed from 'Mr Venter # ActivityBridge' to 'Mr Nathan Lindley # ActivityBridge'.

If the person you need to invoice has not been added as a client on ActivityBridge before, this will need to be done before an invoice can be addressed to them.

Select 'View Account Summary' from the options to the right of the Booking Details.
The Account Details page will open.

Select 'Change "Invoice To"' from the options to the right of the Account Details.
The Search Clients page will open.

Click on the 'Add New' button.
The 'Add Client' page will open.

  1. Complete the information for the new client by selecting the client type and adding the basic information to fields.
  2. Click 'Save' once done.
    The Client Details page for the new client will open.
  1. If needed, you can now add additional information regarding the client to the available tabs.
  2. Click 'Save'.

Note that the client details have now changed on the 'Account Details' page.
Click 'Exit'.
The Booking Details page will open.

Note that the 'Invoice To:' client information has also updated on the Booking Details page.

After the change, when generating a pro forma or final invoice, the newly selected or created client account details will be displayed on the invoice.
