How to generate reports

ActivityBridge provides both standard and accounting reports. Standard reports provide information on your events and bookings, while accounting reports provide information based on the financial information.

This tutorial will familiarise you with the various reports and how to generate them.

Available Reports

Selecting a section will expand it to display a table of available reports.

Standard Reports

The below table lists the available standard reports along with a brief explanation on what information the report provides.

Report Name Explanation
Events Summary

Provides condensed event information such as the:

  • start date
  • time of the activity
  • activity name
  • total pax attending
  • remaining availability
Events with Bookings

Provides a report of events with bookings for the selected date range, sorted by date.
For each booking the below information is provided on the report:

  • Booking ID
  • client name 
  • pax booked 
  • client phone/cell number
  • client email address.
Event - Detailed Provides a detailed report listing events with bookings for the selected date range, sorted by date.
For each event, the current bookings are provided along with the:
  • Booking ID
  • how the booking was made
  • who the booking was made by
  • client phone/cell number
  • rate option applied to the booking
  • a pax count
  • the total booking value
  • the balance due (if any)
Event - for Guides

Provides a report related to the guides set up on ActivityBridge.
The report lists the guides' name along with the:

  • event they are allocated to
  • event date
  • event time
  • notes recorded for the guide
Booking Summary - with commissions

Provides a summary containing the:

  • Booking ID, 
  • associated Activity
  • Date 
  • Time of the Activity
  • who the booking was made by
  • Count of people attending
  • Total Source amount
  • Commission
  • amount of the booking
Booking Summary - with phone numbers Provides a list of bookings for the selected date range with the available contact numbers.
Information provided in this report includes the:
  • booking ID
  • activity name
  • date
  • time
  • who the booking was made by
  • the client cell number
  • the client phone number
  • a pax count attending
Booking Summary - with Extras

Provides a list of Booking IDs, sorted by date, including the total of any extras purchased.
Information provided in this report includes the following:

  • Booking ID 
  • channel where the booking originated from
  • who the booking was made by
  • client cell number
  • client phone number
  • date booked
  • activity date
  • activity time
  • activity name
  • rate option applied to the booking
  • total pax attending
  • booking total
  • the balance due (if any)
  • whether the client has paid or not.
Extras Sales

Information provided in this report includes the following:

  • stock code
  • name of the stock item 
  • category that the stock item was associated with
  • standard price of the item
  • invoice number
  • sale date
  • quantity of stock items
  • price the stock item was sold at
  • gross amount
  • VAT amount
  • the remaining total.
Pickup Report

To support with logistical planning, this report contains the:

  • date of the activity
  • the time of the activity
  • name of the activity

For each activity, this report will also provide the:

  • booking ID
  • name of the client
  • client phone number
  • client email address, 
  • amount of pax attending
  • balance of their account 
  • pick-up point requested by the client
Marketing Report

This report provides information on the available booking sources. Information is grouped per source (where a booking originates from) and this report includes the:

  • event date
  • name of the activity
  • booking ID
  • pax amount
  • total value of the booking (per booking)
  • nett rate (per booking)
  • commission value allocated (per booking)
  • commission percentage (%) 
  • nett commission of the booking (per booking)
Client Report

Information provided in this report includes the following:

  • client ID
  • name of the client
  • company (associated with the client)
  • phone and/or cell number
  • email address 
  • nationality 
  • rate sheet (associated with the client)
Clients on Event Report

This report offers a list of client information grouped by event/activity.

The client information provided within each activity:

  • client ID
  • name of the client
  • company (associated with the client)
  • phone and/or cell no. 
  • email address
Bookings per Month (reconcile your Nightsbridge invoice)

This report provides a list of bookings (with booking details) for the selected month, along with a booking total indicating the total bookings for the month.

The booking information provided in this report include the

  • booking ID
  • booking date
  • type of booking
  • activity name
  • date (of booking)
  • time (of booking)
  • client name
  • booking status
Accounting Reports

The below table lists the available accounting reports along with a brief explanation of what information the report provides.

Accounting Report Name Explanation
Transaction Report

This report allows you to view either all transactions or a selected transaction type. These are grouped by type.
The following information is provided in the report:

  • date, 
  • transaction type - invoice, credit note, payment, transfer or journal
  • reference number
  • client name
  • amount less VAT
  • VAT amount
  • total

In addition, a subtotal is provided for each transaction .

Payments Report This report allows you to view either all payments or a selected payment type. These are grouped by type.
The following information is provided in the report:
  • transaction type
  • date 
  • transaction no.
  • reference
  • client name
  • booking ID
  • payment amount

In addition, a subtotal is provided for each payment.

Debtors Report

This report provides a list of debtors along with the current, 30-days, 60-days , 90-days and total account balances.
The balances are provided along with the client ID and client name.

In addition, a total is provided for column.

PayBridge Payments Report

This report provides a list of PayBridge payment transactions.

The following information is provided in the report:

  • transfer date
  • booking reference, 
  • amount debited
  • amount credited

How to generate a report:

Click on the 'Reports' tab located at the top of the screen.

The Report Menu will open

Click on 'Standard Reports' or 'Accounting Reports' to reveal the list of available reports.

Depending on whether you've chosen Standard Reports or Accounting reports, select the applicable report from the list provided.

Once you have selected a report, the search page will open.

Generating a report using the presets

Presets are available to quickly generate reports using a set of commonly-used date ranges.
Selecting any of the available presets will automatically adjust the date range accordingly.

For this example we will select the 'Last month' preset.

  1. Use the drop-down menu to select an event/activity or leave the 'Event Name' deselected for a report including all the activities.
  2. Select the preset of choice - the dates have automatically adjust.
  3. Click 'Search'.

Select a format from the provided options.

  • 'Standard' - to view the report on your browser in a new tab.
  • 'Excel' - to download the report as a .csv file, to be opened with MS Excel or a similar application/software.
  • 'Text' - to download the report as a .txt file, to be opened with Notepad or a similar application/software.
